We are a small firm and we prefer to get to know our clients and their unique situations in order to best advise them on tax planning opportunities and assist with the preparation of required tax returns. As such, if you live in the vicinity of Charlotte, North Carolina, we would appreciate the opportunity to meet with you in person at our office. However, we are also available by phone and any requested documents can be provided through the File Share Link located on the Homepage. Being a small firm allows us to provide very personalized service that is hard to find these days, but it also means that we will not be able to accept a new client right before the deadline to file. To ensure we are able to help you with all your accounting needs, we would like to encourage you to reach out to us as soon as possible. It would be best to complete the new client process prior to the end of the tax year as this can provide opportunities for tax planning strategies that are no longer available after the end of the year. However, even if it is close to the deadline, as long as you do not owe any taxes it may be possible for us to file an extension and complete your return after the tax deadline without incurring any penalties.
During the meeting, we will review a copy of your prior year’s tax return and the completed New Client Intro Questions for Individuals and/or Business Client Intro Questions for businesses. The answers to these questions and your prior year return help us to become familiar with your situation and ensure that we can provide you with an accurate quote for our tax preparation services. After the meeting, you can expect a follow up email that provides you with a quote and our professional services engagement letter stating the specific professional services to be provided. Our professional services engagement letter must be signed and returned to ensure both parties agree with the services to be provided. We generally give new clients a quote that includes a small dollar range for our fees as unforeseen situations may arise.
If you want to move forward with our services after receiving the quote, just sign and return our professional services engagement letter. After we receive the signed professional services engagement letter, we will send you the Tax Organizer. This packet has several questions that, along with your tax data, will allow us to properly complete your tax return. Filling out this packet is usually not very time consuming, and generally results in a smoother new client experience.
The completed packet, as well as any tax documents, should be uploaded to our secure File Share system. There is a link to this system on the Homepage of this site. This will also be the system that is used to send you a copy of your return and any other documents that include personally identifying information. If you would prefer to correspond by mail, our address can be found on the Contact Us page.
Please know that until you have signed our professional services engagement letter and returned it to us, we cannot begin working on any of your information. You are welcome to email the signed professional services engagement letter to us or upload it to the File Share system.
